Compensation: $71,800 - $82,000 depending on experience

Job Summary

The Registrar oversees the registration process for all students and ensures the integrity of academic records. Primary responsibilities include institutional leadership and strategic management of registration, academic records, transfer evaluation, graduation and scheduling. The Registrar provides vision, innovation, oversight, and direction regarding policies/ procedures while supporting the recruitment and retention of students. This is the lead position for the Registration office, success in which is assessed in two key areas of accountability: 1) Academic Records Management and 2) Systems, Policy, and Support. Must live (or be willing to relocate) within a commuting distance. Must be able to come into the office on as needed basis for meetings and other work-related tasks.

Job Duties & Responsibilities
Key Accountability 1: Academic Records Management (~ 55% of total effort)
  • Supervise daily tasks of Registration Office. Responsible for budget management of office. Guide and mentor the work of people reporting directly and indirectly to the Registration office. 

  • Act as official custodian of all student academic records. 

  • Direct the publication of the course catalog and the academic calendar in conjunction with Academic Affairs and other campus partners. 

  • Develop daily objectives, mid-range plans and long-range goals for office. Demonstrate university leadership in change management. 

  • Develop and execute policies, administrative procedures and best practices. This includes departmental standard operating procedures and cross-department workflows. 

  • Maintain comprehensive knowledge of and adherence to federal, accreditation, and institutional policies relating to registration and academic records management.

  • Research and communicate with counterparts at other academic institutions, system resource forums, and the American Association of Collegiate Registrars and Admissions Officers (AACRAO) in order to troubleshoot, exchange best practice ideas and remain current in best higher education practices. 

  • Work with faculty and Academic Affairs staff to ensure that processes/ expectations around grading, attendance, textbooks, etc. are communicated and efficient. 

  • Work with Admissions and Advising staff regarding transfer credit and degree completion questions and policies. Provide regular training regarding registration related functionality in web portal system.

  • Strategic planning for curriculum, development, and university operations. 

  • Key stakeholder in resolving issues related to exceptions and disputes. Serve as lead Family Educational Rights and Privacy Act (FERPA) resource. 

  • Oversee institutional records retention policies by remaining current with management techniques relating to imaging, disaster recovery, and retention schedules.

Key Accountability 2: Systems, Policy and Support (~ 45% of total effort)
  • Demonstrate a high level of technical proficiency for understanding and troubleshooting aspects of the student information system and its impact throughout the university. 

  • Participate and manage numerous projects from concept to system implementation along with user training. Research and troubleshoot technological errors in numerous university systems. 

  • Supervise maintenance of all tables, forms, and processes in student information system as they relate to student, registration, and academic content. 

  • Oversee accuracy of student information system, degree audit system, and transcript system, along with student and faculty facing portions of university web portal. 

  • Apply new technology to records and registration processes. 

  • Supervise timely and accurate reporting to National Student Clearinghouse (NSC). Work closely with Student Financial Services, Academic Advisors, and Registration staff.

  • Partner with Director of Institutional Research in enrollment and analytic reporting as needed. 

  • Build upon and maintain overall understanding of all administrative duties of office, assist in staff training as needed. Assist students and faculty with registration concerns. 

  • Maintain strict confidentiality of student records and other materials or information of a confidential or sensitive nature as it relates to FERPA.

  • Represent the Registration Office on a number of university committees and collaborate with a wide variety of colleagues and other university departments.

What Naropa Requires…
  • Bachelor's degree in any field. In lieu of degree 5 additional years of experience in higher education administration is acceptable. 

  • Five (5) years of experience in higher education administration

  • Working knowledge of Microsoft 365 suite of applications (including Outlook, Excel, Word, etc.)

  • Intermediate to Advanced knowledge of Student Information Systems (SIS)

  • High attention to detail and accuracy

  • Understand and act on short and long-range planning

  • Sensitive to deadlines and timeliness in responding to/ following up on information requests

  • Engage in complex trouble-shooting

  • Conduct independent research, analyze data, and demonstrate flexibility in learning new technologies

  • Synthesize complex ideas and concepts to present/educate/train multiple audiences

  • Ability to be thorough and consistent when interpreting records

  • Maintain privacy and confidentiality in all interactions as required

  • Demonstrate leadership with strong decision-making skills

  • Diplomatic, sensitive, empathetic, and tactful when interacting with everyone internal and external to the university

What We'd Like You to Have…
